Automatic blind carbon copy (BCC) using Postfix, Sendmail and Zimbra

Blind Carbon Copy is a method of sending email messages to recipients without discovering other recipients of the message. This concept originally applied to paper correspondence and now also applies to email. It is common practice to use the BCC field when addressing a very long list of recipients, or a list of recipients that should not know each other, e.g. in mailing lists.

Move all recipients to BCC


With MSH Traffic Policy you can very easily move all recipients to BCC field. Application have built-in dedicated action for this.

What if someone in your company made a mistake and add all mailing list recipient to TO field? Then you will have a problem. You could set up rules to prevent this problem.

Use recipients counting mechanism. Message recipient count condition will count e-mail addresses in TO field and if there are more than specified number of emails then will move them to BCC field.

How to set up auto-responder with Postfix

Postfix administrators are often forced to deal with the problem of setting up an autoresponder directly on the server without need of configuring client machines. Configuring a separate Out of Office message on every end-user individually is not always possible. Postfix mail server doesn't have built-in auto-responder mechanism, so you need to use third party tool.

There are not many options available on the market, but you should try MSH Autoresponder it simply offers you much more than you could normally expect from that kind of software.

NOTE: If you have hybrid environment with Microsoft Exchange Server inside your organisation you could check MSH Exchange Autoresponder software for server side auto replies.

Application consists of two modules, first need to be installed on server, second on client desktop. More detailed description about installation options you can find in the documentation, desktop admin application installs like any other software, very easy.

When you install and connect to server, you should have ready to use an auto reply software. To set-up a simple auto reply click button Add New to add a new rule.

On the Auto Reply tab fill Subject and auto reply Body. In this example I'll skip other options for auto reply, but you could use Dynamic Variables and specify how sender should be choose, when more than one recipient is matched.

Go to Conditions tab and select Add | Message Sender menu item. Application will ask you based on which sender should trigger auto reply message. You could use full mailbox name, like john.doe@ourdomain.com or only domain part *@ourdomain.com (use wildcards to match multiple addresses). In second example auto reply will be send when someone will send an email to your domain.

NOTE: Check also Protection tab. There are very important settings to adjust. Use them to protect server from message loops.

Click button OK and Save All settings. Rule is now ready to test, send a new message to john.doe@ourdomain.com, wait a moment and you should receive previously defined auto reply message.

Prevent disclaimer duplicates - Zimbra, Postfix, Sendmail

MSH Disclaimer & Signatures is a milter extension for popular mail servers which append disclaimer to all types of messages. Administrators can use application to create beautiful disclaimers and specify which messages should get them and which should not.

Do not append second disclaimer


Use the duplicates protector when you want to skip adding another signature into message. Multiple disclaimers can occur when message was replied many times between sender and recipient. Without protector, each time when message will go through mail server, disclaimer will be appended.

Disclaimer already inserted into message can be garbled when users reply to the same message many times. Search sensitivity slider will help to specify how many characters can be omitted from appended disclaimer.

If value of sensitivity is higher then searching for disclaimer is more tight. Highest value will look for disclaimer exactly the same like composed one. Any word, punctuation mark or a new line cannot be missing or cannot be added inside already inserted disclaimer. If disclaimer will be reformatted by replaying message, searching algorithm will not find it.

Advanced time scheduling – Daily pattern - Postfix, Zimbra, Sendmail

Many companies need to set autoresponder after hours. For example from 17:00 to 9:00 o'clock. Such an auto reply message could have info about working hours and contact information. Zimbra and Postfix disclaimer - Server Token

Count attachments with Postfix, Zimbra and Sendmail

Someday ago I was asked to count all attachments which were going through mail server. It looks like a simple task, but what if it could be even simpler?

MSH Traffic Policy it's a heavy duty machinery for email processing, it's suited for almost every action which could be done with email flow.

Filtering based on Envelope Sender

Policy daemon for Postfix, Sendmail and Zimbra, it allows MTA to check and modify mail envelope information, message MIME headers, and message body. It adds disclaimers, sent auto replies, strip attachments, block messages and rate limit outgoing emails.

Envelope Sender condition


An email message hat two addresses associated with sending it, the envelope sender, and the From address. The envelope sender is used by mail servers and From address is used by people. In most cases mail clients shows only From address, because the envelope sender and the From address should match. But they don't always, and they don't have to.

Match envelope sender with Wildcards or Regular Expressions, it gives a wide range of email address match possibilities. Ie. *@gmail.com will match all messages which are sent from gmail.com.

How to forward/redirect email to another address – Postfix & Sendmail

Remote connection to mail server with Administration Panel


With MSH Disclaimer & Signatures you will extend your mail server, like Postfix, Sendmail and Zimbra with server side disclaimers. Append footers to outgoing, internal or incoming messages.

Before connecting to mail server can be made Milter must be installed on it. Then you need to connect to this server. To define new server click Add Server button.

Application can work with real and test server. Option to simulate connection could be used when you don't want to install Milter on mail server and only want to check how application works and what functions are supported.

Define real or simulation server.


To connection server IP or hostname is needed. By default application is using 1107 TCP port. If you didn't change it then leave it.

Limit the number of TO/CC/BCC recipients

I've seen on Postfix, Sendmail and Zimbra forums questions about limiting the number of recipients:

Is there an approved way of configuring a maximum number of recipients per message? For example, spammer/salesman tries to email his latest leaflet to every email address he has ever seen - spammer adds 50000 recipients to his email and sends it off.
Im pretty sure "smtpd_recipient_limit" in Postfix does this fine, but how to limit only TO field and CC, BCC leave not checked?

Prevent of an auto-responder loop

An email loop is an infinite loop phenomenon, resulting from mail servers, scripts, or email clients that generate automatic replies or responses. If one such automatic response triggers another automatic response on the other side, an email loop is created. The process can continue until one mailbox is full or reaches its mail sending limit. In theory, the email loop could last indefinitely. Email loops may be caused accidentally or maliciously, causing denial of service. Although rare, email loops involving more than two participants can also occur. - Wikipedia

ELP can be set and configured with Rule Wizard on Protection tab. Application count how many times an auto reply was sent to the same recipient in specified time interval.

Postfix and Zimbra Disclaimer – Rule Name

MSH Disclaimer & Signatures is a Postfix, Sendmail and Zimbra milter which add disclaimers to all types of messages: HTML, Plain Text, incoming, outgoing, per domain. With graphical Administration Panel you will create rich text disclaimers and signatures. Templates can be added based on sender, recipient, header, keyword or time range.

Ouf of Office extension for Sendmail and Postfix

MSH Out of Office Assistant is a solution for extending your mail server with OOF functionality. It's integrate server side with MTA, like Postfix and Sendmail. Installing Administrator Panel on Linux desktop


Download latest version of application. Before running install script executable bit needs to be set:

chmod +x msh-o3a-admin.bin

Now run the installation script.

./msh-o3a-admin.bin

When everything will run without errors, after installation application could be found in $HOME directory of current users.

Postfix - Automatically add attachments to specified emails

Postfix is a mail transfer agent (MTA), it's job is to handle the delivery of the mail, picking it up and sending it to the next point on it's route. Like postal worker, whose job is to take an envelope and carry it to the recipient. But sometimes you need to extend it's functionality with some other job, like adding attachments to only specified email messages.

MSH Traffic Policy it's a milter which extends basic MTA functionality with powerful tools.

Add attachment to outgoing mails


Think about task when you need to add PDF file to each email message which is going to @gmail.com recipient. There is only one answer Recipient Condition with Add Attachment action.

Postfix vacation auto replies – LDAP configuration

MSH Autoresponder for Sendmail and Postfix it's a milter which seamlessly integrate with mail servers. Setting vacation auto replies, common support message responses or out of office replies is no longer a problem. You will made rules which will be triggered based on many conditions and skipped by used exceptions.

LDAP configuration for autoresponder


Go to LDAP Directory Service page. To use variables from LDAP select Enable option. In Server Name field put your server address (ip address or fully qualified hostname), if you have default configuration then leave Encryption and Port unchanged. Define Base DN like this: dc=sacramento, dc=post,dc=cal. If you have enabled anonymous connections to server then set Anonymous Connection, otherwise provide credentials for accessing directory service.

Postfix & Sendmail - Out of Office Reponder - Unauthorized Access

Out of Office Assistant is a solution for Postfix and Sendmail. It's a milter which extends mail server functionality with client side auto replies, aka out of office. It's give users option to turn on or off auto reply, define reply message and set time range when out of office reply will be send.

Administrator Panel it's a center management application of server settings and users out-of-office states, thanks to it assistant could remotely change users OOF state.

After installing of Milter on mail server, everyone could connect with Administrator Panel to it. Anonymous connection is enabled. It's need to be changed.

On  Access Control page in Administrative Tools node option Enable Access Control option need to be selected.

Zimbra Disclaimer - applying License Key

How to import License Key


Move license.key file to directory /opt/msh-ds/etc

mv license.key /opt/msh-ds/etc

Restart msh-ds-settings daemon:

After these two steps new license is applied. It can be checked in Administrator Panel on License page.

Do not add second disclaimers


Application have functionality to prevent of adding second disclaimer if one already is inserted.

Sendmail Autoreply – copy rules settings between servers

When you're changing email addressing you will probably need to set up auto reply on a lot of mailboxes. Looking for especially an easy solution?

Copy rules settings


If you have more than one MTA server you can use option Copy Settings to copy rules settings between two mail servers.

Postfix Disclaimers – JRE installation – JAVA_HOME

MSH Disclaimer & Signatures is a milter which integrate with most popular mail servers, like Postfix, Sendmail and Zimbra. It's a first class disclaimer solution. Application is using JRE environment, so before installing program you need to configure Java and JAVA_HOME variable.

Download and install Java on Linux server


Go to Oracle website and download newest JRE installation setup which suite your Linux distribution.

Note: To install Java in system-wide location you must login as the root user.

Extract JRE package:

tar zxvf jre-XXX-linux-YYY.tar.gz

Move unpacked JRE directory to /usr/lib/jvm/:

mv jreXXX /usr/lib/jvm/

You can delete .tar.gz file if you want to save disk space. It's not needed anymore.

Configure JAVA_HOME environment variable


To properly install MSH Disclaimer & Signatures application JAVA_HOME environment variable needs to be correctly set.

If you want to set JAVA_HOME only to current session you could invoke:

export JAVA_HOME=/usr/lib/jvm/jreXXX

But it will not persist if you reboot system.

To make available JAVA_HOME after reboot you need to set variable in .bash_profile file, it's located in each user directory. Create it if not exists. For system-wide and all users modify /etc/environment file,  thanks to it you'll not need to modify each user.

Add this definition to /etc/environment or .bash_profile file:

JAVA_HOME=/usr/lib/jvm/jreXXX

Note: XXX variable in jreXXX means your JRE version, ie. Jre1.9.0_4

To check if JAVA_HOME variable is set, run command:

echo $JAVA_HOME

You should output earlier defined path to JRE.

Installation disclaimers and signatures


Now when Java is installed and set-up, you can run application install script.

./msh-ds-milter --install

Out of Office Assistant – milter installation

Before you could set vacation auto replies and common email autoresponses you need to install and configure Milter extension to your mail server.

MSH Out of Office Assistant supports Postfix, Sendmail and cooperate with Mozilla Thunderbird mail client.

Install milter server module on your MTA


Application consists of three modules:
  • Server Module - which is installed on mail server
  • Administrator Panel – used by administrator to configure and set up client modules
  • Client Module – extensions for Mozilla Thunderbird installed on users desktops machines

Below you will find description of Server Module installation. After downloading application, you need to add executable bit to install script.

# chmod +x msh-o3a-milter.bin

Run the installation script with –-auto parameter:

# ./msh-o3a-milter.bin -–auto

After successful installation, you'll see output like this:

* Checking Java 1.6 or above installation... OK

By default application installs in /opt/msh-o3a directory.

Post installation configure


Server Module don't need additional configuration, it works out of the box. You only need to remember to check if firewall is not blocking 1105 and 1106 TCP ports.

Install milter server module on your MTA

Company wide disclaimers only in specified date range


When you want to append disclaimers with Zimbra, Postfix and Sendmail you'll use MSH Disclaimer & Signatures application. It's server side sophisticated milter which integrate with MTA trough official and standardized Milter API. In a simply way created signatures will be added to each outgoing, internal or even incoming email messages.

Add disclaimer only in specific date time range


  • Create a new disclaimer rule.
  • On Conditions tab you can add requirements based on Sender, Recipients or Message Subject.
  • And add also Time Range condition.
Time Range for disclaimer in Postfix, Zimbra, Sendmail.

For example date range could be defined for vacation disclaimer, ie. from first June to last July.

What about duplicates?


To prevent appending another disclaimer to email message, you should use Message Keyword Searching exception. It have options to precisely set what keywords to search.

Aliases configuration – OOF email messages

Solution which extends Postfix and Sendmail functionality with client side auto replies.

Enable Checking Aliases option.

By default email aliases are not checked, to enable it option Enable checking aliases need to be set.

After installation server module use preconfigured settings in <INSTALL_DIR>/msh-o3a-etc/config.cf configuration file.

Settings for Postfix


By default for Postfix installation ALIAS_QUERY variable look like this:
ALIAS_QUERY='postalias -q %s /etc/aliases'

Invoked command and aliases file could changed to custom ones.

By default for Sendmail installation ALIAS_QUERY variable looks like this:
ALIAS_QUERY='sendmail -bv %s'

Automatically Compress Large Attachments

To make life easier and safe a lot hard drive space you could automatically compress incoming, internal or even outgoing attachments. Users don't care if they sent big excel sheet documents, powerpoint presentations or any other files which easily could be zip'ed.

Not all files should be packed to compressed format. JPEG, AVI or ZIP and RAR files already have reduced size, they're internally compressed. Second time compressing will not decrease size, in worst case will increase it.

Compress mail attachments larger than 5 MB


I recently need a solution where all incoming attachments should be taken from message, compressed and put back into the message. I don't want to compress outgoing traffic.

I will use MSH Traffic Policy application, it's very flexible and powerful software, it helps to solve many problems with MTA's traffic.

  • Create new rule and name it Pack Incoming Attachments.
  • On Actions tab click button Add and select Compress Attachments menu.
  • Enter 5 MB in size section. Only attachments which are greater or equal 5 MB will be compressed.
  • By default ZIP, TAR.GZ and BZ2 files are skipped. You can add another extensions you like. Ie. *.JPEG, *.AVI, and *.RAR.
  • Click button OK.
Compress attachments with Postifx, Sendmail and Zimbra

 To apply action only on incoming email messages, we need to exclude all messages which are not sent from our company domain.

  • On Exceptions tab click button Add and select Message Sender menu.
  • Enter your domain name using wild cards, like *@domain.com.
  • Click button OK.
  • Click button OK to close rule wizard.
  • Click button Save All settings to apply changes.
Message Sender exception to exclude outgoing traffic.

When rule is active all email messages which are not sent from *@domain.com will have compressed attachments. This action give you a whole range of options to manipulate email attachments.

  • detaching attachments,
  • completely removing all type of attachments
  • stripping them from email message and inserting info about it
  • adding new attachment to e-mail

Server auto replies with Postfix - only in specified time range

Postfix doesn't have built-in autoresponder functionality, you need to use 3rd party tool. On the market there are variety of tools and scripts which will do the job.
But almost none of them could set time range for sending auto replies out of the box. This functionality is very useful when you don't want to forget to disable autoresponder after some period of time.

Setting up MSH Autoresponder with simple timerange

  1. Open MSH Autoresponder administrator panel.
  2. Select Autoresponder Rules tree node.
  3. Click button Add New to create new rule.
  4. On Auto Reply tab compose auto reply message.
  5. Go to Conditions tab and add requirements to trigger autoresponder, like only for some recipients.
  6. Go to Time Range tab and select Enable time range option.

  7. Time range options in Postfix autoresponder.

  8. Choose date range in which you want to apply autoresponder, ie. 2014.12.24 – 2015.01.01.
  9. Click button OK and Save changes.

When you're not enabling time and date range autoresponders will be send all the time without a break.

  • You can set an an auto reply message when you're on national holiday.
  • Using Loop Protector auto-reply messages are sent to each recipient only with specified times per minute, hour, day or week.
  • Using Time Range options auto reply messages are sent only in specified period of time.

Automatic Replies for Exchange - message server war

When you're using exchange autoresponder for creating vacation email responses, support notifications or disabled/removed mailboxes you'll probably need to use Loop Protection.

It will happen when other mail servers also using auto reply software and not prevent from loops. This will create message servers war, because servers will send infinite of emails.

Server side solution


MSH Exchange Autoresponder it's an exchange tool for server side auto replies has built-in loop protection functionality. Thanks to it you can avoid a situation when two addresses exchange multiple autoresponders in an infinite loop.

By default Loop Protection is enabled and it's set to no more than 1 auto reply message per 1 day to the same recipient. You can change time and count limit threshold you want.

The Loop Protector counts autoreplies separately for each email address and each rule. It will not accumulate autoreplies from all rules in the program.

Add disclaimer to only internal messages

If you want to add HTML disclaimers only to internal email messages what would you do? First condition would be to narrow conditions to email messages which are sent from your company domain to the same company domain. Everything else should be skipped.

Client side OOF with Postfix, Sendmail and Thunderbird

Most MTA'a doesn't have out of office functionality. To achieve this you need a use 3rd party tool. It must seamless integrate with mail transport agent, give possibility to change status for each user. Administrator should be able to manage all users out of office states.

For example, you have 50 employees in company, each user have mailbox on Postfix or Zimbra. None of this mail servers provide manageable by users out of office states. Users cannot change their OOF status when leave on vacation, also manager could not do it for them.

How to forward email message to another mailbox



By using a rule, any received email message that match conditions specified in the rule ca be forwarded to another email account. For example, all email messages from a sender or with a subject that specify can be forwarded.

Automatically redirect email messages with Postfix, Sendmail and Zimbra.

Suppose that Bob is working with an assistant on a project. For each email Bob receives about the project, he can use a rule to forward those messages to his assistant. Using message forwarding assures that Bob's assistant receives all of the project messages automatically.

Message forward/redirect action
  1. Click button Add Rule in the Administrator Panel.
  2. On the Conditions tab, click button Add and choose Message Recipient.
  3. In the email address, enter bob@company.com
  4. Click button OK.
  5. On the Actions tab, click button Add and choose Forward Message.
  6. Enter destination email address bob.assistant@company.com
  7. Define email Subject line, FWD: ${message:subject}
  8. Click button OK.
  9. Close rule wizard and save changes.

Need Postfix Autoresponder?

Zimbra, Sendmail or even Postfix by default doesn't come with built-in server side auto reply mechanism. You're left on your own and it's your job to build something which will behave like autoresponder. On variety of sites there could be found scripts, applications or some other clever workarounds to achieve this vacation/out of office/name-it functionality. Like Autoresponse (deprecated on December 2012), auto responder in Perl or GNARWL

They all do the job, but only in limited way, what if you want to:
